Job Scope

You are an enthusiastic, high-energy individual ready to create and manage events that are both remarkable and memorable, but above all deliver real marketing results. Reporting to the Manager, Marketing & Experiences, the Event Specialist will manage and support world-class events offered at ÌÀÍ·Ìõ. The successful candidate will have extensive experience in planning and executing successful events and campaigns for diverse audiences, with a desire to learn more and grow in the field. This role relies on your attention to every detail and your ability to work in an exciting environment while collaborating closely with numerous stakeholders.

You are responsible for managing events and promotions (online and in-person) within the Events & Experience team, and attending/hosting events as needed. You will be accountable for all event-related matters including on evenings and weekends. Solid communication with the Manager, Marketing & Experiences and Director of Marketing is the key to success in this role.

ÌÀÍ·Ìõ runs multiple events at any given time, including open houses, conferences and expos, guest speaker presentations, tradeshows, workshops and more.

Core Responsibilities

Key Responsibilities 

  • Plan and execute a wide range of events, campaigns, and marketing initiatives as directed by the Manager, Marketing & Experience. This includes venue sourcing, contract negotiation, and partnership development to ensure maximum value and quality.
  • Manage vendor and venue relationships, ensuring cost-efficiency and service excellence.
  • Set up and manage online event platforms and registration systems; coordinate updates to ÌÀÍ·Ìõ.edu with the Web Developer as needed.
  • Collaborate with the Marketing & Creative teams to promote events and ensure brand consistency.
  • Draft creative briefs and work with the Creative team to produce marketing collateral, ensuring timely delivery of all assets.
  • Coordinate with event speakers and hosts, ensuring they are prepared and well-briefed.
  • Occasionally present or host events as needed.
  • Manage event-related inboxes, responding to attendee inquiries and escalating issues to the Manager when required.
  • Track and manage event budgets, including invoicing, receipts, reconciliation, and post-event reporting.
  • Identify and engage third-party partners to support event visibility and attendance.
  • Perform other duties as assigned by the Marketing & Experience Manager or Director of Marketing.

Job Qualifications

Qualifications & Experience

  • Post-secondary education or certification in Event Management or a related field preferred
  • 3-5 years of experience planning and managing events (e.g. conferences, expos, open houses, workshops)
  • Experience in post-secondary or educational events is an asset
  • Strong stakeholder coordination and relationship management skills
  • Experience leading on-site event teams; some people management preferred
  • Comfortable speaking in public or on stage
  • Able to troubleshoot and problem-solve under pressure
  • Highly organized with strong time management and attention to detail
  • Excellent communication skills (written and verbal)
  • Proficient in Microsoft Office; experience with CRMs, event tools, and web platforms
  • Familiarity with Monday.com, Teams, Eventbrite, and Zoom is an asset
  • Willing to work evenings and travel as needed
  • Driver license and access to a vehicle is a bonus

  • Salary $50,682.19-$55,000.00 per year
  • 3 weeks vacation to start
  • Extended paid time off over winter break (aprox 5-8 additional days)
  • 3 personal days, 5 sick days
